Arcadia Shipmanagement Co. Ltd. is an Athens-based ship management company with a strong global presence since 1998. The company operates high-specification Suezmax and Aframax tanker vessels, providing full technical and operational management with a strong focus on safety, environmental responsibility, quality and compliance. Arcadia is currently expanding its fleet, with a number of newbuilding projects under development in South Korea and China.

Role Scope

Arcadia Shipmanagement Co. Ltd. is seeking an experienced Chartering Administrator to join the Company’s Chartering Department. The successful candidate will support the department’s daily pre- and post-fixture administrative activities, compliance requirements and ongoing matters, working closely with the Chartering Managers. The role is ideal for a professional with proven relevant experience, a strong sense of ownership and a high level of commitment, who is looking to take on a broader chartering support role.

Key Responsibilities

Fixture Support

• Αssisting in preparing voyage calculations using the Company’s ERP system as requested by the Managers.
• Prepare vessel Q88s, ensuring all information is accurate and up to date.
• Review CP agreements and related documentation to ensure they are aligned with the agreed terms and recaps.
• Coordinate the execution and circulation of signed documentation and follow up on outstanding CP information, signatures and amendments.
• Maintain up-to-date awareness of market developments, fleet schedules, vessel employment and relevant operational matters.
• Maintain accurate commercial information and records within Danaos ERP and the department’s filing system.

Compliance & Reporting

• Initiate, coordinate and follow up on Charterers’ KYC requests, liaising with relevant internal departments and ensuring all required information is accurately collected, reviewed and presented.
• Support due diligence processes related to specific trades and cargoes in accordance with company procedures and compliance requirements.
• Prepare and circulate the department’s daily market and management reports, as well as additional reports requested by the Managers.

Stakeholder Communication

• Monitor departmental correspondence and ensure timely follow-up of matters requiring action.
• Act as a liaison between the Chartering Department and relevant internal departments.
• Maintain professional and commercially appropriate communication with brokers, charterers, clients and other external stakeholders.
• Handle incoming calls and ensure appropriate routing of communications.

Administrative Departmental Support

• Maintain organised electronic records of contracts, Charter Parties, recaps, correspondence and other commercial documentation.
• Organise meetings, appointments and client visits, including hosting arrangements.
• Coordinate travel arrangements for department members when required.

Qualifications & Experience

• BSc in Shipping Management or Maritime Studies.
• MSc in Shipping Management or ICS qualification is desirable but not mandatory.
• Minimun 5 years of relevant chartering support experience; Aframax and Suezmax experience is desirable but not mandatory.
• Good numerical and analytical skills.
• Strong MS Office and Danaos ERP knowledge.
• Excellent written and spoken English
• Understanding of tanker trading, including relevant commercial and legal aspects.
