Job Description

The candidate will play a pivotal role in providing administrative support to the executive team while utilizing previous marketing & communications background to contribute to Palau Ship Registry (PISR) marketing goals. The ability to manage multiple responsibilities, maintain confidentiality, and coordinate marketing activities will be crucial in ensuring the smooth functioning of the office and promoting the brand globally.
Responsibilities

1. Executive Support

i. Assisting the executive team in managing their schedules, appointments, and travel arrangements

ii. Supporting the executive team in managing various projects, ensuring timely completion and adherence to deadlines

iii. Preparing and coordinating meetings, conferences, and events, ensuring all logistics are handled efficiently

iv. Drafting and editing various documents, including correspondence, reports, presentations, and memos

v. Maintaining organized records and files, guaranteeing their confidentiality and accessibility.

2. Marketing Coordination

Collaborate with the marketing team to develop and implement strategic marketing plans and campaigns, including:

i. Assisting the marketing team with project organization

ii. Handling administrative tasks to ensure the marketing department’s activities run smoothly

iii. Updating databases, spreadsheets, mailing lists, etc.

iv. Organizing marketing material for social media posts, company brochures, leaflets, presentations and press releases

v. Preparing and updating Marketing plan and budget

vi. Coordinating trade show events, communication ads and the distribution of marketing materials and ensuring their availability across different channels.

vii. Monitoring and reporting on marketing campaign performance, analyzing data to evaluate effectiveness

viii. Coordinating with marketing team in keeping a tight and effective calendar for Social Media

ix. Coordinate cross-functional teams, fostering collaboration and ensuring project documentation is accurate and up to date.

3. Communication and Relationship Management

i. Serving as a primary point of contact for internal and external stakeholders, maintaining professionalism and responsiveness

ii. Managing incoming emails, calls, and inquiries, prioritizing and redirecting them as necessary

iii. Liaising between different departments, facilitating effective communication and collaboration

iv. Building and maintaining relationships with clients, partners, and industry organizations on behalf of the executive team

v. Serving as a primary point of contact for all members of the press, receiving and evaluating all questions from the media and all sponsorship inquiries

vi. Organizing all invitations received and making sure that PISR will be represented, where necessary.

Requirements

• Bachelor’s degree in Marketing, Business Administration, or a related field (or equivalent experience).

• Proven experience as an Executive Assistant, preferably supporting C-level executives.

• Solid understanding of marketing principles, strategies, and tactics in a global context.

• Excellent written and verbal communication skills (Greek, English) with meticulous attention to detail.

• Proficiency in using productivity tools (e.g., Microsoft Office Suite, CRM (preferably Salesforce), project management software (preferably Trello).

• Exceptional organizational and time management abilities, with the capacity to handle multiple tasks simultaneously.

• Ability to maintain strict confidentiality and exercise discretion in handling sensitive information.

• Strong interpersonal skills, enabling effective relationship-building across different cultures and backgrounds.

• Proactive problem-solving skills and the ability to make sound decisions.

• Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
