Job Summary
Polembros is actively seeking a Crew Officer to join our dynamic team, ensuring the effective manning and training of seagoing personnel. This role also involves close internal coordination with other company functions, foreign manning agents, travel agencies, and seafarers to ensure smooth crew operations across the fleet.
Responsibilities
- Lead the full cycle of end-to-end crewing operations by coordinating the selection, documentation, training and deployment of seafarers, ensuring appropriate team composition, travel arrangements, and the reliable allocation of seafarers across the managed fleet, according to vessel schedules and rotational requirements
- Monitor and ensure compliance with Officer Matrix requirements
- Develop and maintain long-term crew rotation schedules to ensure vessel continuity and prevent gaps in manning.
- Act as the primary liaison between the vessel, the crewing agencies, and the Fleet Managers to align crewing needs with specific operational requirements like dry-dockings or specialized trades.
- Review qualifications, experience and performance of potential candidates for seafarer promotion
- Conduct and manage the performance appraisal process for all assigned seafarers, ensuring evaluations are completed in accordance with company policy and relevant actions taken by stakeholders (training, etc.).
- Promptly manage the issuance of Flag State Endorsements, Seaman’s Books, and visa applications
- Support seafarers onboard by proactively checking in on their well-being and addressing their needs with empathy and professionalism.
- Conduct thorough briefings and debriefings with off-signing crew to gather intelligence on vessel atmosphere and operational issues.
- Maintain regular, formal and informal human-centered interactions to ensure seafarers feel supported throughout their onshore experience.
- Assist in managing emergencies or critical incidents involving seafarers, working in coordination with other shore personnel.
- Review and verify crew-related invoices (travel, agency fees, etc.) to ensure accuracy.
- Organize and facilitate internal crew forums by planning agendas, coordinating logistics, and ensuring feedback and action points are effectively captured and followed up.
- Represent the organization in Marine Academy forums to share industry and company insights and strengthen links with academic and training institutions.
Requirements
- Relevant university or marine academy degree
- At least 2 years of experience as Crew Officer/Operator operating ocean-going tankers and bulk carriers
- Fluency in spoken and written English & Greek
- Excellent computer literacy
- Excellent organizational and planning skills
- Advanced negotiation, communication and teamworking skills
- Familiar with Greek/Liberia Flag requirements
- Resilient and adaptable managing unforeseen crew changes and urgent issues, with composure and efficiency, within a demanding, 24/7 environment, always in accordance with the company’s support structure and rest protocols.
