ERMA FIRST ESK Engineering Solutions S.A is seeking to hire a Personal Assistant to join our dynamic team.

In this role you will support the Management Team and on the top of preparing reports, handling information requests, preparing correspondence, arranging conference calls, and scheduling meetings and events, you will be responsible to contributing to our business management activities with orchestration of calendars, reaching out to senior leaders for aligning meeting agendas, prepare meeting minutes and follow-ups.

Main responsibilities include

Manage effectively and optimize the Management’s Team schedule accommodating day to day meeting requests, evaluating levels of priority
Anticipating and securing participation of the Management Team in key events and proactively prepare and organize related PR actions
Ensure that all necessary information is available to the Management Team (travel, location, calls, meetings events, travel expenses, schedule, etc)
Dealing with sensitive information with confidentiality, discretion, and diplomacy
Delivering a broad range of professional administrative services, advising con administration ‘best practice’
Researches, organizes, and summarizes support materials. Generates reports and presentations.
Take over administrative personal and professional tasks of the Management Team
Provide guidance to colleagues where required
Job requirements

Bachelor’s degree from acknowledged University (preferably in Business Administration/ Communication or any relevant disciplines)
Master’s degree will be considered as a plus
Demonstrated advanced proficiency across a broad range of administrative processes, procedures, and systems
Confident and skilled user of essential IT systems, proficient in the use of MS Office suite.
Excellent use of oral and written English language
Collaborative approach; working as part of a team
Ability to manage time and multiple responsibilities efficiently and with minimal supervision
Ability to work effectively and efficiently in a fast-moving environment
Self-motivated, well organized, highly collaborative, team player
